How we handle personal data

Last updated 11 October 2026.

This page explains what we collect when you download a sample pack or get in touch, why we keep it, and how to ask us to stop or delete it. It is written for school staff. Student records are covered separately at the end.

Who we are

RenderReports designs academic reports for private, bilingual, and international schools in Taiwan. We operate locally in Taipei.

To ask about your details, or about this policy, write to contact@renderreports.com.

You can also message us on LINE.

What we collect

We collect only what we need to reply, and to follow up about a consultation.

  • Sample pack

If you enter an email address to download the sample PDFs, we keep that address, the language of the page you were using (English or Chinese), the date and time you sent it, and the wording of the notice shown beside the form.

  • Enquiries

If you message us on LINE or by email, we keep the conversation. We also note the date, your school, how to reach you, the channel you used, and where the enquiry stands. To prepare, we may ask for your school name, your role, roughly how many students you have, and how your reports are made now.

We do not ask for student names, grades, or other student data on the sample form, on LINE, or by email before we have agreed how the work will be done.

Why we collect it

We use these details to arrange a consultation and to follow up about our reporting services. That is the only purpose.

Submitting the sample form means you agree to be contacted for that purpose. The same notice is shown beside the form. We will not use the list for a newsletter, and we will not share it with anyone else, unless we ask you first and you agree.

Follow-up messages are about a consultation or our services. Each one tells you how to opt out.

Where it is kept, and who can see it

Each kind of message is kept in a specific place. Only we can open these records.

  • Resend

Email addresses from the sample form are stored in Resend, the service we use to keep contacts and send email. Only we can access that account.

  • LINE

Messages to our LINE Official Account stay in LINE.

  • Email

Messages to contact@renderreports.com stay in that inbox.

  • Enquiry log

For enquiries that start on LINE or by email, we also keep a private spreadsheet with the date, the school, the contact, the channel, and the status, so the conversation is not lost in a chat history.

  • Google Calendar

When a consultation is arranged, we send a Google Calendar invite with the time and the contact details needed for the meeting.

We do not sell this information, and we do not pass it to anyone other than the services named above, which store it for us.

How long we keep it

If a sample download or an enquiry does not lead to work with your school, we delete those details within 24 months of the last contact.

Student data shared after the work is agreed is kept only for the time written into that agreement, and then deleted.

Opting out, and other requests

You can ask us to stop contacting you at any time. Reply to any message, or write to contact@renderreports.com, and we will stop straight away.

You can also ask to see the details we hold about you, to correct them, or to delete them. Use the same email address.

Taiwan's Personal Data Protection Act (個人資料保護法) covers the personal data we collect here, including a work email address. Writing to us is how you use your rights under that law to see, correct, or delete your data, or to ask us to stop.

Student data

Student data is handled separately from the contact details on this page.

We do not take student data until your school and RenderReports have agreed how the work will be done. Before anything is transferred, we document what is needed, where it will be processed, who may access it, and when it will be deleted. We review that approach with your school and adapt it to your privacy requirements.

While the reports are being produced, student data is used only for the work agreed with your school. It is not reused for marketing, analytics, or anything unrelated.
